All in: How Warren Management modernized with Vantaca

Brandon Helm has spent nearly his entire career at Warren Management Group. He joined as an intern in 2002, three weeks after graduating college. More than 24 years later, he's president of the company. Warren Management Group has been a Vantaca customer since May 2021, after 17 years on a previous platform.

"I don't sit still very well," Brandon said of what has kept him in the industry this long. He tells job candidates as much upfront. "If you don't like monotony, and if you don't like your days to always be the same, then you are in a perfect place," he said. "It's going to throw a curveball at you every single day that you're here."

17 years overdue for a change

Before Vantaca, Warren Management Group had been running on the same platform for 17 years, well past the point where it still fit the business. "We were probably ten years past when we should have made a change," Brandon said. "We knew beyond a shadow of a doubt that change was imminent, and that we had outgrown, really outpaced, the technology of the software we were on previously."

Even after deciding it was time, the team didn't rush the decision. Warren put several vendors through a rigorous vetting process before committing to one. "This was a huge step for us," Brandon said. "The last thing we wanted to do was make a quick decision and then regret that we maybe didn't take enough time to dig into everything."

When it came down to it, the deciding factor wasn't a single feature. It was whether the new platform would adapt to how Warren already operated, rather than forcing the company to change. "We were looking for a software that would partner with us and wouldn't require us to change how we did business or change our culture," Brandon said. "Our ability to do the things that we've always done, that make us who we are and be able to continue those with the new software partner, was really advantageous for us."

One record for every owner, every association.

Some of the earliest wins were operational. The team could now batch process delinquency and governance letters and communicate directly inside the platform, instead of routing through a separate tool.

The bigger shift was in record keeping. Before Vantaca, records for each association and each owner lived in multiple places, even in electronic form. Finding anything meant checking several systems by hand. "Having one place now where all of those things can be attached to an owner's record or into the association's record is really helpful in being able to find what you're looking for," Brandon said. "Using AI and being able to have everything searchable right there, instead of us manually having to go look in different places for something."

Growing capacity without growing headcount

One of the clearest signs of HOAi's impact at Warren has been how much more the accounting team can handle without adding people. Staff moved from routine data entry into work that requires judgment, like managing delinquencies and reconciling bank accounts, freeing Warren's VP of accounting to focus on strategy "The team has kind of all banded together to see a shift in some of those responsibilities in a really, really positive way," Brandon said.

That extra capacity showed up clearly when a position on the accounting team came open through ordinary turnover. "I was very hesitant to get too excited about advertising to our staff that HOAi was going to allow us to reduce our workforce. That was not the message I wanted to convey," Brandon said. Instead, the change happened on its own. "My accounting team came to me and said, "We don't need to replace her right now," he said. "It's not necessarily that we won't ever replace that person, but we're going to wait for some growth to occur until our team feels like they need the resource of that individual."

 

Vantaca Pay: Fewer calls, faster refunds

Warren added Vantaca Pay for a simple reason: consolidation. Brandon prefers keeping tools under one roof rather than bolting on third-party point solutions. "If we're paying for Vantaca and Vantaca offers us something, why are we not using that?" he said.

That preference extends to homeowners, too. A single login means owners don't have to remember which platform to use or who to call when something goes wrong. "The confusion level has been reduced by having that one-stop shop where they log in to the portal and have the ability to make their payment," Brandon said. "It doesn't take them off to another platform or another website, and they can handle it all right there."

New texts, reminders, and emails now keep owners informed on their own: when a payment is about to draft, when one fails, or when an account closes because someone sold their home. "They feel like we'll reduce some of their phone calls of just simple questions that owners are calling in about," Brandon said.

Refunds have gotten simpler, too. Before, refunding an owner meant routing through a separate platform or cutting a manual check. Now it happens directly in Vantaca Pay. "Accounting is being able to process some of those refunds really easily, and the owners have received heir money back really quickly," Brandon said.

"We're people managers, not property managers"

He didn't want it to come at the cost of the relationship his team has with clients. He's told his own staff for years that the job isn't really about property. "We're not property managers. We're people managers," Brandon said. "We serve people. They don't care how well we manage their property if we can't take care of them and serve them as people first."

That philosophy shaped the rollout. Warren wanted clients to feel the benefits: faster answers and fewer errors, without ever sensing they'd lost the personal touch. "Accounting folks generally are pretty married to their processes. They can be hesitant to let go or make changes," Brandon said. "Now they're at a point where they love it, because they don't have the mundane tasks every day of processing some of their systems, because HOAi is doing that for them."

93% accuracy, verified before anyone asks

When Brandon talks with prospective clients about HOAi, he leads with accuracy, comparing AI-assisted invoice review runs at roughly 93% accuracy, by Brandon's own estimate. "Maybe the human accuracy is 85%, but AI has shown us that we have a 93% accuracy rating," Brandon said. "We still might have a few mistakes, but we're going to have fewer mistakes than we did if the human interaction was all we had."

The accounts payable process shows why. An invoice arrives by email. Before anyone on Warren's team touches it, the system has already pulled it out, coded it to the right GL account, matched the bank account and client, checked for duplicates, and confirmed the period and amount. Only after that does a human review it, then a manager, and finally the board member who approves it. "By the time the board member sees it to approve it, it's been looked at by AI or by a human several times," Brandon said. "The boards love it because they know that by the time they get it, it's been seen by multiple people or systems."

Advice for companies on the fence

Brandon's advice to any company still weighing the switch is grounded in his own experience of a long, careful decision. "Trust your gut," he said.What makes Vantaca powerful is the depth of customization available to you. "It has so many partnerships with third-party vendors that integrate, so that you don't have those external platforms to worry about."

Asked to sum up the partnership in one line, he didn't hesitate. "We recognize that Vantaca is a partnership that we couldn't continue doing business without, and that they really are the powerhouse of software in the community association space," Brandon said.
